
Eastern Shawnee Tribe of Oklahoma won the 2008 TIGER (Technology Innovator for Groundbreaking & Exceptional Use of RiteTrack) Award for their design and implementation of their RiteTrack4 system. Eastern Shawnee manages their whole enrollment process in RiteTrack4. The prospective enrollee provides the needed documents, which are scanned and uploaded into the RiteTrack4 system. RiteTrack4 tracks the input and once the documentation is complete, a case worker starts researching the prospective enrollee’s blood degree and family heritage. If related individuals are already in the system, RiteTrack4 relates the new individual with the family history and information previously acquired and thus, the research time is cut dramatically and the case worker can make a quick and informed decision to accept or deny the application. Eastern Shawnee approves or denies all pending enrollees during a general council meeting. Prior to RiteTrack4 it took a lot of time to prepare for the meeting and process of deciding on the enrollees, but now the system easily pulls all pending applicants and their documents for the council and they decide on them right there in RiteTrack4. Once approved or denied by the council, RiteTrack4 handles the rest and updates the status of the enrollee in real time.
Through RiteTrack4, they manage claims and requisitions for tribal social services against various budgets, enabling immediate and real-time administrative tracking of balances and expenses. Eastern Shawnee processes all claims and requisitions using RiteTrack4 intelligence and security to ensure that each receives proper review and approval before providing the service and approving payment. As Eastern Shawnee tracks the applications and approval for services of individual members, it provides a view of the current balance of each social service budget in real time. They can also gather information on how many individuals are using each service.
