In 2008 the Mohegan Tribe of Connecticut needed a new software solution. The Tribe saw a need for a system that would bring all of their information “under one roof” and that would allow for a more streamlined tribal government and for the Tribe to ultimately be able to provide better services to their members and greater access to information for their employees. In late 2008 they chose RiteTrack by Handel after evaluating a number of different software solutions and vendors.
The first project Handel undertook for the Mohegan Sun Casino was an Employee Licensing Solution. The casino needed software to help them license about 11,000 employees. Mohegan and Handel worked hand-in-hand to create a RiteTrack Employee Licensing Solution that would fit their needs. In early 2009 and within six months of beginning the project, the Tribe went live with their RiteTrack Employee Licensing Solution. And since then, the Mohegan Tribe Sun Casino has saved literally tens of thousands of dollars in postage and processing alone through this solution. After two years, this system had paid for itself. Not only that, but their employees and applicants are licensed and on the job faster than ever before.
With the first project a success, the Mohegan Tribe moved on to a second project—the Tribal Information Management System (TIMS). This project was designed to be implemented in phases in a “hub-and-spoke” model. This renders duplicative or “silo” systems a thing of the past, and all of the member information is maintained and updated in a centralized location.
The “hub” of TIMS is the Mohegan Tribe’s member enrollment and demographics module. This piece of the “hub-and-spoke” model manages all of the Tribe’s members and their important information. Instead of having many different versions of the same data regarding one person in different departments, now this “hub” gives the Tribe one spot for all of its member information. “Data quality is much better because there is only one version of the truth,” said George Wood, Information Systems Manager for the Mohegan Tribe. This also has saved the Tribe countless hours of frustration and duplicative work for their employees throughout many departments.
Next, extending from this “hub” are the “spokes” or programs that the Mohegan Tribe provides to its members. Since each “spoke” is connected to the “hub” (where member information is stored), every department has the most up-to-date and current member information literally at their fingertips. RiteTrack also gave the Tribe the ability to put security into place where needed (which limits and secures access of some specific information for departments and/or employees).
Now each “spoke” has built on the centralized “hub” and has allowed the Mohegan Tribe to efficiently manage all aspects of services from application to provision. To date, the Tribe has implemented the following “spokes” in their TIMS solution.
- Member information management
- Demographics information
- Household information management
- Social services management including:
- Child care
- Loan programs
- Fuel/utility assistance
- Maternity leave
- Special needs
- Educational services management
- Financial management
- Card management
- ID cards
- Gas cards
- Gift cards
- Document management
- Signature and photograph management
- Mailing and e-mail list management
Each of these additional “spokes” works precisely as the Mohegan Tribe needs it to while still ensuring the correct information is stored for members. This kind of enterprise tribal management solution has helped the Tribe reach their Council’s vision for the future. And as the Tribe’s needs change in the future, their TIMS system is poised to change with them. That is why RiteTrack is the last software solution the Tribe will ever need to buy.
