Customizing your organizations workflow is one of the most powerful aspects of RiteTrack and you can assign tasks to staff and monitor time spent on tasks and case management. Tasks may be assigned to staff within or outside of a case. Each task contains the involved parties, what service is to be provided, the specific task, start and end dates for the actions, time estimate and priority of the task. Once the task is completed notes and a completion date are added to the task. Additionally, time can be logged against tasks or on general ongoing work and case management.

Status boards offer immediate information on who is in the office, if staff are out of the office, the duration since the last status change and notes that can be added to define a status and anticipated time of return. Status boards can be displayed at the employee or office level and provide everyone in the office with real-time information when one is attempting to reach a co-worker. Desiring to speak to a coworker and not find him in his office? You can check the office Status Board and find that his status is “Out to Lunch” and that the current duration is 45 minutes telling you he should be back in 15. When the front desk receives a call for the Director they can check the Status Board and find that she is “In a Call” and is scheduled to be off at 2:00 PM and pass this information on to the new caller.
Task, time and status information is summarized in canned but customizable system reports. These reports can be run at the employee, service or organization level. These reports provide statistics about time in the office, time logged to customers and projects and time logged against specific tasks. Time logs are also used to create billing reports for services provided by employees.
