From Budgets to Benefits: A Better Way to Manage Financial Assistance

The Financial Services module in RiteTrack offers a powerful solution for tracking direct financial assistance across multiple departments. It provides a comprehensive, real-time view of how funds are used—from the account and budget down to the individual member. Its intuitive interface simplifies and streamlines the entire claims process.
Accounts, Budget, and Grants
Accounts can be configured to represent specific budgets or grants used to fund member assistance. Funds can be added at any time, and claims automatically deduct money, providing a real-time look at remaining balances. You can even fund multiple services from a single account, enabling accurate reporting on how funds are distributed.
The Claim Status History Report allows users to drill down into specific services and statuses over a date range.
Claims Processing
Financial services are provided directly to members in the form of monetary assistance. You can easily manage eligibility dates and define personal budgets that determine how much money a member can access and how they can access it. For example, you could set a personal budget to allow for a “$1,000 per year” utility assistance benefit with unlimited claims, while also providing a “$5,000 lifetime” burial assistance benefit accessible through a single claim. RiteTrack’s built-in business intelligence ensures that claims exceeding the benefit amount or claim limit cannot be processed.
RiteTrack does not allow processing of claims if the member is over the amount or number of claims in the personal budget.
Member Records
On the member record, you’ll find a complete history of their eligibility, along with past and current claims. A claim’s Status History tracks every step, from the initial request to final approval or denial. You can also generate detailed reports at the member, financial service, and account levels to get a full picture of all claim activity.
The Mass Approval tool allows staff to select claims by type and status and take action on multiple claims at once.
Correct Inaccuracies and Enable Member Access
Tribes importing data from legacy systems often discover significant inaccuracies, including mismanaged funds, duplicate services, and incorrect eligibility calculations. RiteTrack identifies and corrects these issues while ensuring accurate claims processing moving forward. With the Client Portal, members can now view the services for which they are eligible and check the status of both current and past claims. This access promotes transparency and reduces the time program staff spend responding to claim inquiries.
