While tribal members access information through the public-facing Portal, RiteTrack staff have a comprehensive set of management tools that allow them to create content, maintain resources, coordinate events, and respond to member inquiries.

Communications and News

Sharing news and important tribal communications is simple through Portal Management. Staff can create announcements and categorize them, making information easy for Portal users to locate through search functionality. Both the category and the content of the message are searchable, allowing members to quickly find relevant information.

When creating a communication, users can specify publication dates and, if desired, an expiration date that automatically removes the post from view. Communications can be made available to the general public or restricted to registered Portal users.

RiteTrack’s rich-text editor provides flexibility in how information is presented. Users can format text, create hyperlinks, insert images, and copy and paste content from other sources. Once published, communications are immediately available through the RiteTrack Portal, ensuring members have access to timely and accurate information.

Portal Files, Forms, and Documents

The RiteTrack Portal allows tribes to provide convenient access to downloadable forms and documents. Through Portal Management, staff can create directories that appear as folders within the Portal’s Files & Forms section.

After a directory has been created, users can upload documents into RiteTrack and assign them to the appropriate folder. These files then become available for download through the Portal. As with communications, documents can be designated as publicly accessible or restricted to registered Portal users.

This functionality gives tribes complete control over their published documents, allowing staff to add new forms, update existing resources, and remove outdated information without requiring technical assistance or support services.

Public Events

Portal Management also includes tools for maintaining the public event calendar. Staff can create events that appear on the Portal calendar, helping members stay informed about upcoming meetings, gatherings, and community activities.

Events can be scheduled for any duration, whether it is a one-hour council meeting, a multi-day training session, or a week-long powwow. Calendar entries display the event name, location, and scheduled dates, providing members with clear and accessible event information.

Access to events can be configured in several ways. Events may be visible to the public, restricted to registered Portal users, or designated as invitation-only when appropriate.

Portal Support Requests

While communications, documents, and events support member engagement, the Support Requests feature provides a direct communication channel between Portal users and tribal staff.

Support Requests can range from simple questions requiring a quick response to complex issues involving multiple people, cases, or prior requests. Staff can associate requests with related individuals, cases, and historical interactions, creating a complete record of communication and activity.

Each Support Request includes tools for documenting actions taken, recording notes, tracking status changes, and managing uploaded documents. Both staff and Portal users can contribute documents to the request, creating a centralized location for all related information.

To ensure efficient resolution, Support Requests can be categorized by department and assigned to specific staff members. Status history is maintained throughout the life of the request, providing accountability and visibility into the resolution process.

Notifications, Reminders, and Reporting

RiteTrack’s Notification and Reminder features help staff stay informed and responsive.

Notifications can be configured to alert users whenever a new Support Request is received or when the status of an existing request changes. These alerts help ensure that requests are reviewed and addressed promptly.

Reminders provide an additional layer of task management by allowing staff to schedule alerts for future actions. Whether following up with a member or reviewing supporting documentation, reminders help ensure that important tasks are not overlooked.

RiteTrack also includes reporting tools that provide insight into Portal activity. Available reports allow users to monitor pending support tickets, review requests by status, and analyze Portal usage trends. These reports help administrators identify workload patterns and measure member engagement.

Portal Information Within Member Records

Portal Management provides a centralized view of all Portal users and their interactions. Accessible through the RiteTrack Action menu, it serves as the primary location for managing Portal activity.

In addition, portal tickets and messages can be viewed directly from an individual’s person record. This integration allows staff to review previous communications and manage ongoing interactions without leaving the member’s record, providing a complete picture of member engagement.
