Enhancing the RiteTrack Experience: New Notifications, Reminders, and Note Summaries

To support these needs, RiteTrack now includes several new quality-of-life enhancements: Notifications, Reminders, and Note Summary Reports. Together, these features streamline workflows, improve communication, and provide faster access to critical information.
Smarter Notifications That Keep Users Informed
One of the most valuable aspects of any case management system is the ability to stay updated on the information that matters most. RiteTrack’s new notification tools provide users with greater visibility into activity occurring across the system.
Users can now subscribe to updates on virtually any data object within RiteTrack. Notifications can alert users whenever records are added, modified, or deleted, ensuring teams remain aware of important developments in real time.
For example, within the Indian Child Welfare module, a caseworker may choose to receive an alert whenever a new referral is added to a case. Supervisors can monitor updates across multiple cases, while administrative staff can stay informed about key changes without manually checking records throughout the day.
Notifications are highly flexible and can be assigned to:
- Individual users
- Multiple team members
- Entire user groups
Delivery options are equally adaptable. Alerts can appear directly within RiteTrack, be sent through email, or both—allowing organizations to configure communication methods that best fit their workflow.
Targeted Change Notifications
In addition to general notifications, RiteTrack also introduces Change Notifications, which allow users to track updates to specific records.
This feature is especially useful for time-sensitive activities. For instance, a user may monitor a scheduled court hearing and receive an alert when notes or follow-up documentation are added after the hearing occurs. Rather than repeatedly checking a file for updates, the system proactively informs users when action has taken place.
By reducing the need for manual monitoring, Change Notifications help teams stay responsive while saving valuable time.
When adding a Notification the user will select who will receive the Notificaiton, what action will trigger the Notification, and how it will be delivered.
Flexible, Action-Oriented Reminders
While Notifications focus on informing users about activity within the system, Reminders are designed to help users take action at the right time.
RiteTrack’s Reminder functionality allows users to create one-time alerts associated with:
- A Person
- A Case
- A Case Plan
- Or any combination of the three
This flexibility makes reminders useful across a wide range of scenarios. A user might create reminders for:
- Upcoming client follow-ups
- Court dates or hearings
- Documentation deadlines
- Eligibility reviews
- Case plan milestones
- Home visits or appointments
Each reminder includes direct links to the relevant RiteTrack records, allowing users to move immediately from the reminder to the information they need. This eliminates unnecessary navigation and helps staff complete tasks more efficiently.
Once a task has been completed, the reminder can simply be marked complete, automatically removing it from the pending list and helping users maintain a clean, manageable workflow.
User’s can view and manage all of their Reminders from their profile.
Supporting Accountability and Timeliness
In fast-paced human services environments, missed deadlines or delayed follow-up can have significant consequences for families and clients. Reminders provide an additional layer of accountability by helping staff stay on top of important responsibilities.

Streamlined Note Summary Reports
Case Notes and Contact Notes are among the most important records maintained within RiteTrack. While storing notes individually provides flexibility and detailed documentation, reviewing large numbers of notes one at a time can be inefficient and time-consuming.
The new Note Summary Reports address this challenge by compiling notes into a single, organized report that is easy to review and analyze.
Users can generate summaries based on selected date ranges, allowing them to quickly review activity over a specific period. This is especially helpful for:
- Case reviews
- Supervisory oversight
- Court preparation
- Team collaboration
- Audit preparation
- Historical case analysis
Improved Searchability and Accessibility
The reports also include text-search functionality, enabling users to quickly locate specific information across multiple notes. Rather than opening and reviewing records individually, users can search for keywords, phrases, or topics and immediately identify relevant documentation.
This significantly reduces the time required to locate important information and helps staff make better-informed decisions more efficiently.
Interactive and Print-Friendly Formats
Recognizing that users work in different ways, RiteTrack offers Note Summary Reports in both:
- An interactive on-screen format for digital review
- A condensed print-friendly layout for meetings, court packets, or offline reference
This flexibility allows organizations to adapt the reports to their operational needs while improving usability across departments.
Note Summary Reports allow users to select the date ranges for the notes compiled as well as search for selected text within the notes.
Note Summary Reports can also be generated in a condensed, printer-friendly view more appropriate for sharing.
